Context
The organization lacked an efficient system to manage reimbursements for expenses and travel allowances for its dedicated workforce. The existing process relied heavily on manual steps with various approval stages, hindering the swift and accurate traceability of tasks. This placed a significant burden on the administrative team, as they were tasked with repetitive management duties that added little value.
Strategy
Upon identifying this critical issue, we implemented a tailored adaptation of Flow, a cutting-edge platform designed to streamline authorization processes. Specifically, this solution empowers each employee to declare their expenses, including travel allowances related to the use of their vehicles. Leveraging the power of Google Maps, the user can effortlessly record their routes, which then automatically calculates the distance traveled and translates it into the appropriate amount to cover fuel and vehicle wear.
Furthermore, tailored expense categories, ticket limits, and authorized payment methods were allocated based on each user's respective department. To enhance efficiency, we introduced time limit parameters for declaring these expenses, ensuring swift and seamless management.
